The type of personal information we collect
For the purposes of adding you to our mailing list we will collect your name, email address and organisation.
For our application processes, we will collect your name, email address, organisation and country.
When you sign up to an event through Eventbrite we will collect your name and email address.
How we get the personal information and why we have it
General personal information:
You provide us with this information when you agree to join our mailing list or sign up for an event. We use the information that you have given us in order to contact you about our opportunities or send you email newsletters about the JustGESI project activities (if you have opted into our mailing list).
For our mailing list, we use a third party provider, Mailchimp, to manage our email contacts. We may also send emails through the Mailchimp platform and gather statistics around email opening and clicks to help us monitor and improve our e-newsletter. The JustGESI project will not share your personal data with third parties.
Lawful Basis
Under the UK General Data Protection Regulation (UK GDPR), the lawful basis we rely on for processing this information is:
Your consent. You are able to remove your consent at any time. You can do this by clicking on the unsubscribe link in the footer of any email.
How we store your personal information
General personal information:
This is stored in a secure University of Sheffield Google account.
We will keep your contact details for the duration of the JustGESI project (3 years), plus one year for any follow-up activities.
Special Category Data:
This is stored in a secure University of Sheffield Google account accessible only by the Network Manager.
Raw data will be kept only until the relevant call results have been announced (if applicable) and the data has been anonymised and aggregated. After this point the raw data will be deleted.
Your data protection rights
Under data protection law, you have rights including:
Your right of access – You have the right to ask us for copies of your personal information.
Your right to rectification – You have the right to ask us to rectify personal information you think is inaccurate. You also have the right to ask us to complete information you think is incomplete.
Your right to erasure – You have the right to ask us to erase your personal information in certain circumstances.
Your right to restriction of processing – You have the right to ask us to restrict the processing of your personal information in certain circumstances.
Your right to object to processing – You have the right to object to the processing of your personal information in certain circumstances.
Your right to data portability – You have the right to ask that we transfer the personal information you gave us to another organisation, or to you, in certain circumstances.
You are not required to pay any charge for exercising your rights. If you make a request, we have one month to respond to you.
